Personalized Notes in the Workplace

Personalized notes will come in handy at the office; they make it easier to communicate with employees. Whether you need to write down a task that you need to have completed by a specific time or thank someone for doing a spectacular job completing a project, using your own personalized note cards will make it easy. And if you have your name monogrammed on the cards, the recipient will know that the message is coming directly from you.

Quite often you may find that you want to request that an employee perform a specific task but the employee isn’t at their desk or they are on an important phone call. This is a great opportunity for you to write down your thoughts on your own personalized notes and simply leave the note on the employee’s desk. You won’t have to stand around waiting for them to end the call or keep passing by their desk to see if they have returned from their lunch break.

Jot down on your note card “Hey when you get some time can you pull up a file for me?” You won’t have to even sign your name if it is monogrammed onto the cards. Even if the employee becomes distracted after their phone call the visual reminder of the note will keep them on task. Sometimes just asking for something in a busy work environment won’t get it done. It is easy to forget one conversation when you go on to the next, but if your employee has a visual note to go off of odds are that they will perform the task as soon as they possibly can.

Sometimes it can be easy to forget good manners in the workplace environment. This is because it can be easier to tell someone “thank you” or to email them a message thanking them for something instead of giving them a formal thank you. With personalized notes on hand all you have to do is jot down a simple “Thanks for the great job completing that assignment” and your gratitude will be genuinely received.

It only takes a few seconds of your time to write something down on paper. And if you keep your personalized note cards in a handy spot it will be easy for you to just grab one and jot down your thoughts. Take the extra time to write things down on paper and you will have better communication with your employees.

My sister works at a very successful U.S. pharmaceutical company. She tells me that one of the higher-ups always sends his personal written notes on Colonial Cards that he must be buying from Giftsin24. Of course he must use email, and/or company letterheads … but when it comes to the personal thank-you’s or quick personal messages, he uses white Colonial Cards with black ink personalizion.

Using personalized notecards for inter-office messages is a nice, friendly, idea. But don’t forget the most important business purpose for using personalized stationery — sending personal thank-you’s to your customers. Since 2006 the volume of mail throught the U.S. Post Office has declined by 25%. During that time, we all know that email “inboxes” have doubled or tripled with received messages. So this means that when you send a personal thank-you via the U.S. Mail, it will be one of the few pieces of personal mail that your customer received that day — it will be noticed. Aren’t we all saying the same thing here? Any time we bother to send a hand-written note, we make a gesture that will be remembered …

I agree with Aaron M. A written thank-you to a customer is a tangible action that is becoming rare, indeed.

Sending hand-written notes to customers is an important part of the business relationship. It doesn’t have to be often, but it is an act of courtesy that will be remembered.
