These days, it seems that everyone is using wedding save the date personalized stationery to announce their forthcoming nuptials. So what are save the date cards and how are they used?

Personalized save the date stationery is designed to inform family and friends of an upcoming event, in most cases a wedding, so that they can mark their calendars to ensure their availability to attend. Save the date announcements most often take the form of a card or a save the date magnet.

Save the date announcements are typically mailed four to six months prior to the wedding date; however, those planning destination or summer weddings should consider sending save the date reminders up to one year in advance to give invitees ample time to make their plans (transportation, hotel, vacation time, etc.).

While save the date personalized stationery need not be as formal as traditional wedding invitations tend to be, they often carry the colors or theme of the wedding being announced. Short & Sweet: Space is a premium on personalized save the date stationery

Save the date reminders are short on space, so information presented should be kept to a minimum. Necessary information includes the names of both the bride and groom (or name of the event if not a wedding), event date and location, including city and state. Don’t assume that anyone receiving your save the date announcement will know you and your fiancé by first names only, and don’t assume that they will know where the wedding will take place. If you want them to attend, tell them what they need to know. That includes telling them that an ‘invitation will follow.’

That said, don’t bog down the reminder card with details that are not necessary at the time. For instance, the time of the ceremony and reception will be important but aren’t now. The guests of honor, the date and location will suffice. If you have a web site dedicated to your wedding or special event, include the address on your save the date announcement; that’s where you can go on and on with details about the event.

Here’s an important rule of thumb: you don’t need to send save the date reminders to everyone you plan to invite, but you do need to invite everyone to whom you send save the date reminders. So be careful of your send list; if you’re unsure of whether or not you will invite someone, or if you have space or financial restrictions, only send save the date cards to those you absolutely know you will invite.

Writing business thank you notes is as important as paying your bills on time and knowing your competitors’ strengths and weaknesses. Believe it or not, learning how to write business thank you cards gives you a competitive edge.

Why? Because not enough people do it. Writing business thank you notes, while imperative and considerate, is often overlooked as a mandatory business practice. And because it makes you memorable; people like to be thanked, so expressing your gratitude will distinguish you. How to Write Business Thank You Notes

You say you don’t know how to write a business thank you note? It’s not too different from writing a personal thank you note, which we discussed in our blog about thank you card wording; just keep in mind your intended audience.  Here is a practical guide to business thank you note etiquette:

• First and foremost, do not send store-bought notes. Be sure to use either company letterhead or, even better, personalized notes and cards.  See our blog on why personalized business stationery makes business sense for more on this.
  

  The Executive Card, an appropriate choice for business thank you notes

• Address your note to the particular person who provided you a service or helped you in some way; use the person’s formal name and title on the envelope.
• Use ‘Dear Mr. / Ms. X’ unless you have already established a relationship on a first-name basis. Only use a more informal greeting, like ‘Dear Bob,’ if you know the person well.
• Maintain professional language and tone throughout the business thank you note; you can be relaxed but not too informal (avoid slang and inappropriate language).
• Identify yourself and the purpose of the note, and reference the circumstance that prompted the business thank you note.
• Polonius said it best in Shakespeare’s Hamlet: “…since brevity is the soul of wit…I will be brief.” You should, too. Without sacrificing friendliness or important information, keep your business thank you note concise.
• Close with ‘Sincerely,’ followed by your formal name and title in closing. Be sure to enclose your business card, especially if you don’t have a prior relationship with the recipient. If you are in job search mode and do not have a business card, you can order personalized calling cards that present your contact information in a professional manner.
• Address the envelope with the recipient’s formal name, title and company name, as well as mailing address. It is acceptable to handwrite the address, especially if you are sending a personalized note or card. Don’t forget proper postage!
• Mail your business thank you note promptly. If you are sending a thank you note after an interview or meeting, send it that afternoon or the next day. If you are thanking someone for speaking at an event, send it upon conclusion of the event. If you are expressing gratitude for a gift you received, follow the same business thank you note etiquette by sending it as soon as possible.

Now that we’ve got the ‘how’ figured out, let’s talk about when you send business thank you notes.  I can’t cite every instance for which you should write business thank you notes, but I can give you examples that can guide you for future reference.

The long and short of it is that you should send thank you notes whenever you feel a person or company has done something to merit gratitude.  Here are some examples:

• For a client referral
• For new business
• For continued business
• For a favor
• For a gift
• For granting a request (conducting an interview, providing information, giving a tour, etc.)
• To an event host (business breakfast/lunch/dinner host, conference coordinator, association manager)
• To a guest speaker
• To a mentor

When writing business thank you notes, you are setting yourself apart from your competition, making yourself memorable, and practicing good business etiquette. Learning how to write a business thank you with a solid understanding of business thank you note etiquette can give you the professional edge.

I find ‘courtesy’ to be an interesting word, probably because we unfortunately don’t hear it too often. I assumed I understood the meaning of courtesy, but I looked it up, just in case.

• 4. Favor, help or generosity

Striving for proper etiquette and the core meaning of courtesy

One of my career aspirations in younger years was to be an etiquette consultant – can you imagine the pressure of constantly trying to be perfect – and teaching others to strive to do the same? I’m glad I let that one go. I do still value and appreciate manners, and I think courtesy is a core value of good manners, as reflected in definition #1.

So, in real terms, what are the meanings of courtesy and proper etiquette? Courtesy is gentlemen opening doors for ladies. Courtesy is taking turns while talking, instead of talking over someone else. Proper etiquette is letting someone go ahead of you in line because they only have two items and you have 17. Courtesy is saying ‘please’ and ‘thank you.’

If you’ve been with me for any length of time, you know how I feel about saying thank you. It’s a ‘given’ and a ‘must.’ Saying thank you is the first step in courtesy; we were all taught it as toddlers.

So what’s all this about National Courtesy Month?

I’m not sure, really. I found it somewhere on the vast Internet plains, and it resonated with me. Once I found it, I searched far and wide to find more information about National Courtesy Month but came up dry. But it does exist!

One of my most important goals in life is to teach my children that the simple act of saying ‘thank you’ is among the most important things they can do. Of course, saying ‘please’ ranks right up there, but ‘thank you’ takes the cake for me.

Two simple words – thank you – hold so much power. Saying thank you not only expresses gratitude but also respect, courtesy and often love. For a child, saying thank you is short and sweet. For us grown-ups, it can become a more intricate task, especially when we are putting our thoughts into writing.

I would certainly say there is an art to good thank you note wording.

My mom writes me thank you messages for just about everything. I save all of them, not only because it makes me feel good to read them, but also because they are treasure troves of memories, helping me recall how we celebrated special occasions and how I expressed my love to her in gifts.

How to Write Thank You Notes

For me, the number one rule in how to write thank you cards is to try not to make it read like a thank you note. Confused? How boring is it to read “Thank you for the blender. It blends really well. We will get a lot of use out of our blender. Thanks again.” Blah. Instead, try something like…

Thank you for the fabulous blender!

“Obviously, you know I’m a margarita fan, and now, thanks to you, my Cocina Mexicana is complete. I’ve already found the perfect spot for my shiny, new Oster on my counter. All we have left to do is pick a date and a recipe!  Thank you for your thoughtful generosity.”

I said thank you, but it wasn’t the first phrase and it wasn’t at all bland. I created thank you note wording that illustrated my gratitude and enthusiasm.

Keep Your Thank you Message Simple

Thank you messages needn’t be verbose. Say what you need to say and move on. Contrary to my mom’s approach, in which she details every gift, exactly what she loves about it and precisely how she will enjoy it, I prefer to take a modified approach in thank you card wording (see margaritas above). Write just enough to express your sincere gratitude without sounding insincere. My rule of thumb is to accomplish three things: express gratitude, identify the item or act for which you are grateful, and say why.  In the example above, I mentioned my love of margaritas, identified the much-appreciated blender and expressed my gratitude for the giver’s kindness, all in 50 words.

You Should Always Say Thank You

So you didn’t like what you got? YES, you still need to say thank you. Akin to the Rolling Stones song, “You Can’t Always Get What You Want,” you don’t always want what you get. Regardless, you still have to say thank you, because the giver still gave you something (like it or not!). Turn a negative into a positive, like this…

“Auntie Lottie, your knitting skills never cease to amaze me! The snowman sweater you sent shows just how talented you are. It will surely keep me warm on chilly nights. It was so kind of you to think of me; thank you.”

Thank you card wording can creatively convey your sincere gratitude without being dishonest about your feelings toward the gift itself.

Hand-Written Notes are a Must

I know it’s easy to shoot off a quick email. I know you hate your handwriting (we all do!). I know it takes time and thought that you just don’t feel like spending to write a thank you note or carefully select thank you card wording.  But you should. Writing thank you messages by hand is simply the right thing to do. If someone goes to the trouble to do something for you or give something to you, you should extend the courtesy of a hand-written thank you to express your gratitude and show respect.

I love receiving handwritten summer thank you cards in the mail. There’s something very special about reading messages from loved ones when you know they put time and thought into writing. With that in mind, I always try to write my thank you notes promptly.  Summer thank you notes are often more challenging, with all of summer’s distractions, but they’re just as important as any other time of year.

Summer thank you cards are another good option. Contrary to the note, the thank you card is a flat piece of paper with the printed or embossed design on the front of the card; the thank you letter is written on that same surface, rather than opening a flap to find the message inside like fold-over notes. Thank you cards (as opposed to notes) are often chosen by people whose writing style is more concise. One of the things I enjoyed most as a kid in the late 70s and early 80s was the abundance of personalized products that flooded the marketplace, and subsequently my pockets, drawers, folders and various other hideaways. Let’s face it: we all appreciate recognition. Personalization puts our names out there for the world to see. Personalized stationery in particular makes me feel special, because it makes me feel as if I am sending a little bit of myself to my recipient. As a kid, putting specially made labels on my folders and books made me feel good because I put my own ‘stamp’ on my little world.

As a young girl, one of my most treasured possessions was a little painted wooden box with my name hand-painted on the lid. Inside were a personalized notepad and pencil that also had my name on them. My name looked so pretty in delicate, white brushstrokes. To this day, I still have that personalized keepsake box tucked away in my closet; it holds mementos from my childhood. I think that, of all people, kids get a special kick out of personalized gifts. How to plan a family reunion with Giftsin24.com

Somehow, my cousin and I got the brilliant idea to tackle the task of family reunion planning for our family’s first ever gathering.
